Inserting and Managing Images
Images can add clarity and interest to WebPages, but they can also take away from the value and credibility of information if they are not used properly. For example, if a maker of prescription drugs showed dancing pills on their Website what would your reaction be? Don’t let this happen to your WebPages!
There are generally two image file types that are used on the Web, .jpg and .gif. The .jpg file type is used for photos/pictures and the .gif file type is used for drawings and limited color graphics. Please remember that other file types are not compatible on the Web and will not upload into RedDot*.
*Note-most digital cameras use the .jpg format but some have the option of using the higher quality .tif format. If your camera uses the .tif format your images must be converted and compressed to a smaller file size.
File names should be short and can contain dashes – and underscores _ no spaces.
Individual user folders will be set up on the RedDot server so that you can keep all your Web images in one place. Folders will be set-up one at a time as requested by users. Please e-mail Rachel and ask her to set-up a folder for you on the RedDot server. These folders will not be the same folders that are on Shipley’s network and are not accessible outside of RedDot. Folder instructions are included in the steps below.
- Recommended Image Dimension (in pixels): 200 x 150 (allows 2 across)
- Limit the number of images per page – generally no more than 5
- Limit the file size of images so that your pages load quickly – generally the total graphical weight of a page should not be more than 25Kb … or 5, 5Kb images. Don’t test the page load time at Shipley since Shipley’s Internet connection is extremely fast.
- Only use images with the .gif and .jpg extension.
- Remember to delete old images from your Webfolder (instruction below).
Inserting a new image from your computer
- In the RedDot text editor click the Insert Image button
- Choose where the image should come from (your computer or the server). Only choose the server if you are re-using an image you have already loaded.

Browse to the find the file you want to load.
- When you find the file select it and click the open button.
- When you see the file path in the text area click OK
- RedDot will ask you in which folder your image should be placed. Click the folder once to select it and click OK. (Remember to choose your own folder)
- When the file loads it will take a few seconds … Do Not move to another page or your image will not load.
- Your image will now be viewable in the text editor. (See the tables sections below for tips on image alignment.)
Inserting an image already used and deleting images from your Webfolder
- In the RedDot text editor click the Insert Image button
- Choose where the image should come from (your computer or the server). Only choose the server if you are re-using/deleting an image you have already loaded.
- Choose your folder from the folder list – click OK.
- The files that are in the folder you selected in Step 3 are now visible, 15 at a time. To view more of the files click the Next button in the bottom-right corner of the window. When you find the image you would like to insert just click the name of the image. If you’re not sure about which file to insert click the Preview button to the right of the image. A new window will open showing you the image. Close the new, small window with the image preview and either select that image or keep looking for the one you want to insert. Images can also be deleted from this window by clicking the
next to the image.

Editing an image’s alignment
- Click on the image to select it. Once selected the image will have 8 gray squares around it.
- Click the Insert/Edit Image button
- Edit the Alignment, Border, VSpace, HSpace Alt and Long Description settings. DO NOT edit the Pixel Height, Pixel Width, or Percent of image size.
- Click OK
