Admissions Associate

Purpose: Working as a member of the Admissions Office and reporting to the Director of Enrollment Management, the Admissions Associate’s responsibilities will be to provide office support including receptionist, secretarial and clerical duties as well as the following:
Key Responsibilities
  • Answer telephones as needed: record inquiries, explain admission procedure, screen calls
  • Process email inquiries
  • Schedule parent interviews for admission directors and student visits
  • Enter interview and visit data into computer and provide weekly reconciled parent interview and classroom visit reports
  • Maintain admissions calendars, update all school calendar and notify admissions staff of scheduled appointments
  • Perform regular admissions website maintenance in partnership with The Director of Enrollment Management and The Director of Marketing and Communications.
  • Confirm appointments on a weekly basis, inform parents of further information needed to complete the admission process
  • Prepare Application Packets for inquiries/applicants and maintain ready supply in office.
  • Prepare outgoing mail daily including postage & distribution, including application packets for inquiries/applicants
  • Maintain inventory of application materials and office supplies
  • Assist with document preparation and admission mailings
  • Plan admission activities/events in partnership with the Director of Enrollment Management and create and maintain RSVP lists
  • Assist the Lower School Director of Admissions with all aspects of the admissions process including:
    • Communication to the parents of Lower School applicants
    • Follow-up to parent and student visits
  • Lead Lower School tours
  • Assist as a team member, as needed, with any aspect of the Admission Office

Data Input and Blackbaud Support Coordinator

The Shipley School is searching for a Data Input and Blackbaud Support Coordinator, an individual to provide a primary Blackbaud data entry role. The successful candidate will be flexible, energetic, and positive, as he or she handles multiple projects simultaneously, interacts with individuals across the school, and completes a variety of assignments in a timely fashion. Strong communication skills, accuracy and attention to detail along with the ability to work independently and be a self-starter are required. A strong working knowledge of the Blackbaud database systems and of Microsoft Word are essential.

The Data Input and Blackbaud Support Coordinator will report to the Director of Data Operations to support all Blackbaud modules. This is a full time, non-exempt position.

Coordinator Requirements

Areas of Coordination and Responsibility

  • Maintain data for students, families, trustees, faculty/staff, community coaches, music lesson teachers, tutors, organization and other records, including:
    • Gathering data through emails and school interactions
    • Processing changes received through online updates
    • Communicating changes to additional school personnel as needed
    • Verifying and clarifying changes as needed
  • Create and maintain policies and procedures for Data Operations
    • Create and update quality control queries
    • Create and maintain a calendar of tasks and special projects
  • Provide materials to assist in all-school mailings
  • Work with Webmaster to ensure smooth and accurate flow of data between web and database
  • Send all school emails through NetCommunity, including:
    • Creating database queries for recipient lists
    • Sending scheduled and unscheduled emails
    • Reviewing recipient reports and resolving email issues
    • Serving as back-up for email and web publication of parent weekly announcements.
  • Create and maintain yearly school district transportation information including mid-year changes/updates
    • Coordination of snow day (early dismissal etc)
    • Provide school districts Shipley school calendar and general transportation information
    • Produce and share transportation directory as resource to Shipley administrative assistants.
  • Gather and Track Student Activities
    • For Middle School and Upper School theater, sports, clubs, end-year-awards, student grade/class officers and other academic awards
    • Includes importing physical education sports/music participation for Upper School students
    • Prepare and send student activity reports to various recipients as requested
  • All school directory - coordinates all data related material and organize distribution
    • Includes sending all families a directory listing proof
    • Overseeing the custom Blackbaud Crystal report
  • Assist with creating and running of various reports and queries, including:
    • Lists to school photographer for student and colleague pictures
    • Statistical reports
    • List of new students to Tech Support and others in August (to create student emails)
  • Support Head of School’s Office and all-school Administrative Assistants in their use of Blackbaud
  • Assist with training of Blackbaud users
  • Management of Net Solutions
  • Produce and publish monthly online directories
  • Assist with yearly re-enrollment project
    • Attend and participate in planning meetings
    • Update student attributes for re-enrollment and process ‘holds’ per Business Office
  • Assist with tracking of student medical information
    • Attend and participate in planning meetings
    • Update student attributes for medical tracking
    • Assist nurses with data inquiries
  • Process enrolled students and create and send pre-populated Confidential Information Summary (CIS) and send Business/Grandparent forms
    • Update data from returned CIS and Bus-GP forms
    • Create grandparent records and notify Raiser’s Edge
  • End-of-year processes (after grades are entered)
    • Withdrawal students leaving at end-of-year
    • Process status changes (enrolled to new; new to present)
    • Promote Students
    • New parent/guardians add affiliation of current student
    • Process past parents (students who left at end-of year or grads w/o other students at Shipley)
  • Create pre-populated colleague CIS forms for first all-colleague meeting of the school year; update data for colleagues from returned forms
    • Review and update colleague information via Head of School and Human Resources offices
  • Understand and maintain data for Shipley’s automated contact system (Alert Now)
    • Maintain appropriate fields on student and colleague records.
    • Review recipient report and resolve any invalid phone/email type issues.
  • Understand and support integration of Education Edge and Raiser’s Edge databases.
  • Serve as a liaison for all school data questions and needs.

Director of Parent Programs And Events

Shipley’s Development Office recently underwent a strategic shift in structure to focus on and organize around our donors, rather than on our internal functions (e.g., Annual Fund, events, capital giving, planned giving). The Development Office strategy is guided by a collaborative, donor-centered approach to fundraising in which each donor relationship is cultivated and stewarded based on constituency. Aligned into alumni- and parent-related “pillars” that uphold the Office mission of supporting the School, staff members in each pillar are charged with developing constituency-based programs to identify, engage, cultivate, solicit, and steward donors. While the constituencies served by each pillar are different, the goals are the same: to cultivate relationships, build a sense of community, and generate annual, capital, and planned giving support for The Shipley School.

Working as a member of the ten-person Development Office and reporting to the Associate Director of Development for Parent Engagement, the Director of Parent Programs and Events is responsible for leading and implementing a comprehensive constituent relations program focused on engaging and cultivating the constituencies of the Parent Pillar, which encompasses trustees, parents, alumni parents, grandparents, past parents, and former trustees. Shipley has recently completed Phase I of a $47 million capital campaign, having already secured $25 million, and is in the midst of Phase II.

Specific Responsibilities

  • Develop and implement four (4) major annual fundraising events: Shipley Shops (October); Spring Auction (April); Secret Gardens (May); and Golf Classic (June).
    • Recruit Co-Chairs and Committee members.
    • Design and write, with assistance from the Communications Office, paper and email invitations and ensure their timely delivery.
    • Implement innovative marketing strategies to promote programs and events.
    • Ensure that fundraising events meet financial goals.
    • Steward volunteers following the events.
  • Develop and manage the following cultivation events: Winter Teas (December, January, and February) and Grandparents’ Evening (April).
  • Develop and manage additional fundraising events as appropriate.
  • Lead a program to recruit, train, and support pillar volunteers.
  • Assist in the planning and orchestration of annual, capital, and planned gift cultivation and stewardship events for pillar.
  • Conduct face-to-face visits of pillar constituents.
    • Build relationships with prospects with the goals of strengthening their affiliation with and support of Shipley.
    • Record visits through use of Call Reports.
    • Document all activity in the database.
  • Manage and support the Fine Arts Committee, the Speer Gallery exhibits, and related events.
  • Collaborate with the Director of Alumni Programs and Events to promote alumni pillar constituents’ attendance at Shipley Shops, Spring Auction, Secret Gardens, and similar events.
  • Identify and promote ways in which varying constituencies in the pillar can be brought together, with the goal of cultivating all.
  • With the Webmaster, manage and regularly update content of the special programs and events section of Shipley’s website.
  • Advise parent volunteer programs as appropriate.

General Responsibilities

  • Educate pillar constituents about the importance of supporting the School.
  • Help to identify prospects and volunteers for annual, capital, and planned giving fundraising efforts.
  • Delegate appropriate tasks to the Parent Coordinator.
  • Manage the use and accuracy of database records for parent pillar.
  • Manage parent pillar programs and events budget.
  • Support and staff events run by the Development Office, including but not limited to Alumni Weekend.

Qualifications and Expectations

The ideal candidate will have a strong fundraising background in an independent school environment and an excellent track record of identifying, recruiting, and supporting volunteers. A Bachelor’s degree is a requirement. Successful completion of state and federal clearances is a condition of employment.

Security Guard

Purpose of Position

To provide security service on weekends as required and be available to do fill in work for other shifts to assure the safety of students and staff, the preservation of school property and assets, and the timely and appropriate readiness of designated facilities for school functions.  This position requires no more than 20 hours per week.

Supervision

Reports to the Director of Physical Plant or Assistant Director.

Qualifications and Experience 

  • High School Diploma or Equivalent.
  • Minimum of three year’s security experience preferably in an educational environment.
  • Minimum of three years driving experience with no moving violations.
  • Valid driver’s license. 
  • Proficiency in spoken and written English.
  • Physical ability to perform duties as outlined below.
  • Satisfactory personal background checks in compliance with Pennsylvania law.
  • Act 235 preferred (not required)
  • Current CPR preferred

The Security Officer will possess the ability:

Duties and Responsibilities

The Security Officer is responsible for:

  • Observing all safety regulations and policies
  • Executing assigned duties within the scope of the Policies and Procedures of the school Handbook.
  • Performing all duties with a professional bearing.
  • Conducting tours and patrolling of all School properties to insure, in order of priority, that –
    • All exterior doors and windows are secured
    • All interior doors are secured as designate
    • All interior lights are out at the earliest possible time
  • Assisting housekeeping staff gain access, as required, to alarmed areas.
  • Maintaining a detailed log of each shift wherein observations, and incidents are clearly and concisely recorded – all incidents must answer the five W’s:  Who, What, Where, When, Why.
  • Reporting to the Director or Assistant Director of Physical Plant, by pager and/or telephone as circumstances dictate, any incident which poses a serious threat to the security of the School and its constituencies; this would include, but is not limited to, the following: fire, fire alarm, intrusion alarm, unauthorized person(s) in building.
  • Reporting any observed maintenance deficiencies; this would include but is not limited to exterior/interior lighting, locks and locking mechanisms, door, windows and glazing, heating, plumbing, or other mechanical or electrical repair required or problem noted on tour.
  • Unlocking and re-locking doors for School and rental events as indicated on the weekly requisition or by memorandum or note; providing assistance to event staff to insure the timely and successful operation of each event.
  • Performing additional duties as required case of emergencies, inclement weather, or disasters.
  • Interactivity with local Police Department, Fire Department, Penn Starr, EMS
