External Relations Office Administrative Assistant
Working as a member of the External Relations Office, reporting to the Advancement Services Manager and providing primary support to the Director of Special Programs & Events and the Alumni Director, this individual will fulfill the following responsibilities:
SPECIAL PROGRAMS & EVENTS:
- Handle reservations, lists and name tags for events
- Handle gift entry & acknowledgments for major fundraising events
- Maintain Shipley Shops Program Book Database
- Produce mailings and lists as needed for events and meetings
- Assist with production and distribution of memos, meeting minutes, postcards, fliers and miscellaneous correspondence
- Attend and assist in execution of major Special Events as necessary and appropriate
- Help support volunteers as necessary
ALUMNI RELATIONS:
Handle all ongoing data base changes and additions to alumni records, including but not limited to:
- Ongoing changes of data base information gleaned from class notes, Alumni Network, emails, RSVP’s or personal correspondence
- Ongoing inputting of class notes
- Completion of year-end constituency changes of graduating seniors to alumni
- Responses to all Alumni Network related correspondence
- Ongoing research on lost alumni utilizing various sources
- Handle obituary process
- Handle reservations, lists and name tags for alumni events
- Produce mailings and lists as needed for events and meetings
- Assist with production and distribution of memos, meeting minutes, postcards, fliers and miscellaneous correspondence
- Keep all alumni filing current
- Attend and assist in execution of Alumni Weekend & other local alumni events
GENERAL:
- Serve as chief receptionist for External Relations Office including meeting, greeting and directing volunteers and other constituents to appropriate staff person
- Answer phones, direct calls, and distribute incoming messages daily
- Order office supplies and interface with vendors
- Sit at central school switch board weekly
- Handle incoming and outgoing mail on a daily basis including postage & distribution
- Provide assistance as required with production and stuffing of general office mailings
- Provide general assistance to Communications Office
- Help support volunteers as necessary
Qualifications: The position requires knowledge and comfort with data base management, web navigation, Microsoft Office; Excel; Knowledge of Raiser’s Edge 7 and independent school culture is an asset. This person must also possess excellent communication, organizational and personal skills and have the flexibility and ability to juggle multiple tasks in a fast-paced environment. Ability to work occasional evenings and weekends is required.
